How to Manage a Client

Keep all your client information organised in one place. Learn to add clients, track communications, and view booking history.

Your clients are the heart of your business. Bridal File keeps all client information in one place so you can track the full relationship: enquiries, quotes, bookings, payments, and communications.

Never forget a detail about your client again.

Step 1: Viewing Your Client List

The Clients page shows all your clients in one place. Search by name, email, or phone to find anyone quickly. Filter by status to see active clients, recent enquiries, or past bookings.

Step 2: Adding a New Client

There are two ways clients get added to Bridal File:

  1. Automatically from enquiry form submissions
  2. Manually for phone or social media leads

To add manually, click Add Client, enter their name and email (required), and optionally add their phone number.

Pro Tip: Clients are created automatically when enquiries come through your embedded form, so you often don't need to add them yourself.

Step 3: Viewing a Client Profile

Click any client to see their complete profile. You'll find:

  • Header: Name, email, phone, and wedding date
  • Enquiries: All enquiries from this client
  • Quotes: Every quote you've sent them
  • Bookings: All confirmed bookings
  • Payments: Payment history across all bookings

Everything about the client relationship is visible in one place.

Step 4: Editing Client Information

Click Edit on any client profile to update their details. You can change their name, email, phone number, event date, or add notes.

Keeping wedding dates updated is especially important for calendar accuracy.

Step 5: Logging Contact History

Track all your communications with each client. On any booking, find the Contact History section and click Add to log a conversation.

Choose the contact type (phone call, text, email, WhatsApp, Instagram, Facebook, in person), enter the date, and write notes about what was discussed.

Contact types available:

  • Phone call
  • Text message
  • Email
  • WhatsApp
  • Instagram
  • Facebook
  • In person
  • Other

Pro Tip: Log contact notes immediately after conversations so you don't forget important details.

Step 6: Viewing Booking History

See all bookings for a client at a glance. Track payment status per booking, view total spent across all bookings, and easily identify repeat clients.

This history helps you provide more personalised service and spot your most valuable clients.

Step 7: Sending Communications

From any booking, you can send professional emails to your client:

  • Send Confirmation Email
  • Send Update Email
  • Send Cancellation Email (with optional note)

Emails are sent from your connected email address and formatted professionally, keeping all communication looking polished.
