How to Add a Booking
Create bookings from accepted quotes or from scratch. Learn to set up all the details, from client and venue to services and payments.
Bookings are your confirmed appointments. There are two ways to create them: from an accepted quote (recommended) or from scratch. All the details live in one place: client, date, venue, services, and payments.
Your calendar fills up automatically as you add bookings.
Two Paths to a Booking
Path 1: Quote to Booking (Recommended)
When a quote is accepted by your client, convert it to a booking. All details transfer automatically, including any payments already made.
Path 2: Direct Booking
Skip the quote stage if a client confirms verbally or via DM. Create the booking directly. Useful for repeat clients or simple bookings.
Path 1: Creating a Booking from a Quote
Go to your Quotes page and filter by "Accepted" status. Click on the quote to open it, then click the Create Booking button.
The quote details pre-fill the booking: client information, event date, services, and pricing all transfer automatically. Any payments made on the quote are linked to the booking too.
Review the pre-filled details, add the venue information, and click Create Booking.
Pro Tip: This is the smoothest workflow because everything transfers automatically.
Path 2: Creating a Booking from Scratch
Click Add Booking from the Calendar or Bookings page. You can optionally link to an existing quote, or create a completely fresh booking.
Step 1: Select or Create a Client
Start typing the client's name to search existing clients, then select from the suggestions. If they're new, click New Client to add them.
The client's email is required for portal access, so make sure to capture it.
Step 2: Set the Event Date and Time
Click to open the date picker and select the event date. Set your arrival or start time, and optionally add an end time.
If you select a date you've blocked, you'll see a warning but can still proceed if you want to override.
Pro Tip: The date picker shows your blocked dates, so you can easily spot availability issues.
Step 3: Choose Booking Type
Select Location for trials and consultations at your salon or studio. Select Event for weddings and on-location appointments.
Location bookings let you pick from your saved locations. Event bookings let you enter the venue details manually.
Step 4: Add Venue Details
For Location bookings, select from your saved locations and the address auto-fills.
For Event bookings, enter the venue name, address, and any notes (like parking info or a contact person).
Step 5: Add Services
Click service buttons to add them from your pre-set service categories. Adjust quantities as needed (e.g. 3 bridesmaids), and edit prices if this booking differs from your defaults.
You can also add custom line items for one-off services not in your regular menu.
Step 6: Set Deposit
Choose a deposit percentage (0%, 25%, 50%, etc.) or set a custom amount. The deposit and balance due are calculated automatically in the summary panel.
Step 7: Add Notes
Internal notes are only visible to you, perfect for reminders about parking, prep details, or anything you need to remember.
Client notes capture information from or about the client that relates to this booking.
Step 8: Create the Booking
Review everything in the summary panel, then click Create Booking. The booking appears on your calendar immediately, and you're taken to the booking detail page.
Understanding Booking Statuses
Bookings move through these statuses:
- Confirmed: Booking created, awaiting deposit
- Deposit Paid: Deposit received, booking secured
- Paid in Full: Full balance received
- Completed: Event has happened
- Cancelled: Booking cancelled
After Creating a Booking
Once your booking is created:
- Send a confirmation email to the client
- Follow up for deposit if not yet paid
- Log any contact notes from your conversations
- Add the event to your personal calendar if you use syncing
From the booking page, you can record payments, send emails, edit details, and mark the booking as completed when the event has happened.
